Up Close and Personal With Records



Recently, myself and the other fellows I work with in IMD (Infrastructure Management Division) were given time during the monthly all-hands meeting to present the work we’ve been doing on the division's records management. We’ve also finally been able to dispose of the thousands of physical files we’ve been digitizing over the months. 

We’ve been orchestrating a course of action that will ensure the division is able to efficiently organize and store their files in order to streamline their efforts of proper records management. Preparing the presentation, ensuring we were able to speak to the work in an easily understandable manner, and making sure that we made sure there were plenty of resources for employees once we were done. 

In terms of our records management project we’ve been cataloging, scanning, and digitizing thousands of paper files so that IMD is able to free up physical space in the office and to make it easier to find files online, creating ease of access for the entire refuge system. After months of cataloging the physical files and transferring them to a digital filing system we were finally given the go-ahead to dispose of the physical files and binders that we digitized. After the first batch of disposition, we tossed 6,400 pounds of paper!

This was our big fellowship project and knowing that we’re currently in the homestretch is like a weight being lifted. The files that we were in charge of were held in both the filing closet as well as filling up two cubicles. Those who were in the office on our disposal day were expressing their gratitude and amazement that it was finally time to get rid of all the files. 

Luis, one of the three HAF interns in the office, was able to snap the attached picture of the Eco-Shred truck that came to properly dispose of all the paper we were tossing. We’ve got one more round of tossing files, and then we will finally be done! On to bigger and better things!
